What this site collects, why, who processes it, how long it is kept, and your rights.
Who is responsible
The controller for personal information collected through this site is Vishwanath Callikan, operating The Payments Trace. For anything in this notice, contact privacy@thepaymentstrace.com or use the contact form.
What is collected
The site has no accounts, no newsletter and no advertising, analytics or tracking cookies. Three things involve personal information. First, the contact form collects the name, email address, reason and message you choose to send. Second, the hosting provider keeps standard server logs, which include IP addresses, as part of operating and securing the site. Third, your colour-theme preference is stored in your own browser only and is never sent to the site.
Why, and on what basis
Contact-form details are used to respond to your enquiry and, where you have asked about an engagement, to take steps at your request before any contract. The lawful basis is legitimate interests in responding to correspondence, and, for engagement enquiries, taking steps prior to a contract at your request. A record of correspondence is kept on the same legitimate-interests basis.
Who processes it
Form submissions are processed by Formspree, Inc., which receives the submission and relays it to the operator’s inbox. Formspree is based in the United States, so form data is transferred there; that transfer relies on the safeguards in Formspree’s data-processing terms, including standard contractual clauses. The site itself is hosted by Netlify, whose infrastructure produces the server logs described above. No personal information is sold or shared for marketing.
How long it is kept
Enquiries are kept for as long as needed to handle them, and no longer than 24 months after the last contact, unless an engagement follows or a legal obligation requires longer.
Your rights
You have the right to ask for access to, correction of, or erasure of your personal information, to object to or ask for restriction of its use, and to data portability. To exercise any of these, contact privacy@thepaymentstrace.com. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.
What this site does not do
No automated decision-making or profiling takes place, and the site is not directed at children.

Material changes to this notice are recorded here with a new date.
